This Privacy Policy explains how No Missed Repairs ("No Missed Repairs," "we," "us," or "our") handles personal information in connection with our website, our AI phone receptionist service, and our demonstration phone line.
1. WHO THIS POLICY COVERS
This policy covers:
- businesses that sign up for No Missed Repairs ("customers" or "shops");
- people who call a subscribing shop's No Missed Repairs receptionist number ("callers");
- people who call our demonstration line ("demo callers"); and
- visitors to our website.
2. WHO IS RESPONSIBLE FOR CALLER INFORMATION
Calls to a subscribing shop:
The shop determines why caller information is collected and how the shop uses that information. No Missed Repairs processes Caller Data on the shop's behalf to provide the answering service.
Our handling of Caller Data for subscribing shops is also governed by our Data Processing Addendum.
If you contact us about personal information from a call to a subscribing shop, we may forward your request to that shop and assist the shop in responding.
Calls to the No Missed Repairs demo line:
No Missed Repairs determines how information from the demo line is processed. This Privacy Policy applies directly to that information.
Customer accounts and website information:
No Missed Repairs is responsible for information collected directly from customers who sign up for the service and from visitors to our website.
3. INFORMATION WE COLLECT
Call information
When a caller consents to having the call recorded and transcribed, we may collect:
- caller ID and telephone number;
- the caller's name and callback number;
- the call recording;
- a transcript of the call;
- an automated summary;
- an English translation when a call is conducted in Spanish;
- vehicle information provided by the caller, such as year, make, model and mileage;
- the vehicle problem or service request described by the caller;
- whether the caller says the vehicle is drivable;
- other information the caller voluntarily provides during the call; and
- call metadata such as date, time and duration.
We instruct callers not to provide Social Security numbers, payment-card information, bank-account information, passwords, medical information or other unnecessary sensitive information.
Demo callers may also provide an email address so we can send them the transcript or other information they requested.
Customer information
When a shop signs up, we may collect:
- business name;
- business address;
- owner or contact name;
- telephone number and email address;
- business hours;
- services offered;
- information the shop wants its AI receptionist to provide to callers;
- email addresses that should receive call messages;
- account and service information; and
- usage information, including call counts and billable minutes.
Payments are processed by Stripe. No Missed Repairs does not store full payment-card numbers.
Website information
When someone visits our website, our hosting and security providers may automatically process technical information such as:
- IP address;
- browser and device information;
- date and time of requests;
- pages requested; and
- security and diagnostic information.
4. HOW WE USE INFORMATION
We use personal information to:
- answer incoming calls;
- take and deliver messages;
- record, transcribe, translate and summarize calls after the caller gives consent;
- send call information to the shop the caller contacted;
- send demo callers information they requested;
- operate and support customer accounts;
- calculate service usage and billing;
- maintain, secure and troubleshoot the service;
- prevent fraud, abuse and misuse;
- respond to customer and caller requests;
- comply with legal obligations; and
- enforce our agreements and protect the rights and safety of No Missed Repairs, our customers, callers and others.
We do not use call content for advertising.
5. AI PROCESSING
No Missed Repairs uses automated speech recognition, artificial intelligence language models and synthetic voice technology to operate the service.
Our primary voice-AI provider is Retell AI. Retell may use telecommunications providers, speech-recognition providers, AI model providers and other subprocessors to process calls.
No Missed Repairs does not train its own AI models using caller recordings or transcripts.
Under Retell AI's current contractual terms, Retell may use aggregated and de-identified information derived from use of its service to operate, improve and develop its services. Where permitted under Retell's terms, de-identified and aggregated communications data may also be processed for development, training and improvement of AI and machine-learning systems.
No Missed Repairs does not authorize Retell or another provider to use identifiable Caller Data for advertising on our behalf.
6. WHO WE DISCLOSE INFORMATION TO
We may disclose personal information to:
The shop the caller contacted
Caller information is delivered to the subscribing shop so the shop can respond to the caller.
Service providers
We use service providers that help us operate No Missed Repairs, including providers of:
- voice AI and telecommunications services, including Retell AI and its subprocessors;
- email delivery;
- website hosting, security and infrastructure, including Cloudflare;
- payment processing, including Stripe; and
- business email and communications services, including Google.
These providers may process information only as permitted by their agreements with us and applicable law.
Telecommunications providers may also process certain call metadata for purposes such as call routing, billing, fraud prevention and legal or regulatory compliance.
Legal requirements
We may disclose information when reasonably necessary to comply with applicable law, a valid court order, subpoena or other lawful governmental request, or to protect the rights, property or safety of No Missed Repairs, our customers, callers or others.
Business transfer
If No Missed Repairs or the business operating it is sold, reorganized or transferred, relevant information may be transferred as part of that transaction, subject to applicable law.
Professional advisers
We may provide information to attorneys, accountants, insurers and other professional advisers when reasonably necessary and subject to appropriate confidentiality obligations.
7. WE DO NOT SELL PERSONAL INFORMATION
No Missed Repairs does not sell personal information.
We do not share personal information for cross-context behavioral advertising and do not use caller information for targeted advertising.
8. CALL RECORDING AND CONSENT
Every No Missed Repairs receptionist call begins with a disclosure that the caller is speaking with the shop's virtual assistant (an automated AI assistant, which the assistant confirms honestly if a caller asks) and that the call may be recorded and transcribed.
The assistant asks the caller for verbal consent before taking the caller's message.
For example, the caller is asked whether recording and transcription are okay.
If the caller affirmatively agrees, the assistant continues with the call.
If the caller declines, the assistant does not continue taking the message and tells the caller that they may hang up and contact the shop another way.
If the caller does not respond to the consent request, the assistant asks again. If consent is still not obtained, the assistant ends the call without taking a message.
Spanish-speaking callers receive the equivalent disclosure and consent request in Spanish.
9. DATA RETENTION
Shop calls
We configure our voice platform to retain shop-call recordings, transcripts and associated call data for up to 180 days after the call, after which that call content is scheduled for automatic deletion from the voice platform.
Demo calls
We configure demo-line call recordings, transcripts and associated call data for a shorter retention period of up to 90 days.
Recording links
Recording links delivered to shops are configured to expire. Customer recording links are intended to remain available for no longer than seven days.
Expiration of a recording link does not necessarily mean that the underlying call record has already been deleted; the call record follows the applicable retention period described above.
Emails
Emails already delivered to a subscribing shop remain subject to that shop's own email-retention practices.
Business, support and transactional email records retained by No Missed Repairs may be kept for as long as reasonably necessary to operate the service, resolve disputes, maintain business records and comply with legal obligations.
Billing and business records
We retain billing, tax and accounting records for the periods required by applicable law and legitimate business recordkeeping requirements.
Our service providers may retain limited billing, security, fraud-prevention or telecommunications metadata for their own legal and operational requirements.
10. YOUR PRIVACY REQUESTS AND CHOICES
Calls to a subscribing shop
If your request concerns a call you made to a subscribing shop, the shop generally controls that Caller Data.
You may contact the shop directly.
You may also email [email protected]. We will forward appropriate requests to the shop and reasonably assist the shop in responding.
Demo-line and No Missed Repairs information
For information controlled directly by No Missed Repairs, you may contact us to request access to, correction of, or deletion of personal information associated with you.
We may need to verify your identity before fulfilling a request.
We may retain information when required or permitted by law, including information necessary for security, fraud prevention, dispute resolution, billing or legal compliance.
Where an applicable privacy law provides additional rights, we will honor those rights as required by that law.
We will not discriminate against anyone for exercising a privacy right provided by applicable law.
11. EMAIL COMMUNICATIONS
Emails that provide a requested demo transcript, call message, account notice, invoice, security notice or other service-related information are transactional or service communications.
If we send marketing or promotional email, recipients may opt out of those marketing messages using the unsubscribe method provided in the message.
Opting out of marketing does not prevent us from sending necessary transactional or service-related communications.
12. WEBSITE TRACKING AND DO NOT TRACK
No Missed Repairs does not currently use information collected on our website for cross-site behavioral advertising.
We do not currently sell website-visitor information or permit advertising networks to use our site to track visitors across unrelated websites for targeted advertising.
Our hosting and security providers may process technical information necessary to deliver and protect the website.
Because we do not currently engage in cross-site behavioral tracking for advertising, a browser Do Not Track signal does not change our practices.
If we later add advertising trackers, analytics technologies, social-media pixels or other technologies that materially change these practices, we will update this Privacy Policy and provide any notice or choices required by applicable law.
13. SECURITY
We use reasonable administrative, technical and organizational safeguards appropriate to the nature of the information we process.
Those safeguards include measures designed to limit access to information, protect information during transmission and restrict recording links to limited periods.
We also use third-party providers to operate important portions of the service and require appropriate data-protection obligations where required by law or contract.
No information system can be guaranteed to be completely secure.
If a security incident occurs, we will investigate it and provide notices to affected customers, individuals or authorities when required by applicable law.
14. CHILDREN
No Missed Repairs is a business service for auto repair shops and is not directed to children under 13.
We do not knowingly solicit personal information online from children under 13.
If we learn that we have collected personal information online directly from a child under 13 in circumstances where parental consent is required, we will take appropriate steps to delete it.
15. CALIFORNIA PRIVACY INFORMATION
California's California Consumer Privacy Act ("CCPA") applies only when its statutory requirements are met.
To the extent the CCPA applies to No Missed Repairs in a particular context, California residents may have rights provided by that law, including rights relating to access, correction and deletion of personal information and rights concerning sale or sharing.
No Missed Repairs does not sell personal information or share personal information for cross-context behavioral advertising.
When No Missed Repairs processes Caller Data on behalf of a subscribing shop, our obligations are also governed by our Data Processing Addendum and applicable privacy law.
16. CHANGES TO THIS PRIVACY POLICY
We may update this Privacy Policy as our service, providers or legal obligations change.
We will post the updated policy with a new "Last updated" date.
If we make a material change affecting active customers, we will also provide reasonable notice, such as by email or through the service, before the change takes effect when required or appropriate.
